Volunteer Descriptions
PARENT SWIM AND DIVE MEET VOLUNTEER DESCRIPTIONS
Meet Director (Home Team)
The Meet Director oversees all meet operations, including equipment setup/take-down, timing, scoring, and general flow of the event. They serve as the primary point of contact for the Meet Referee and lifeguard staff and help resolve any issues that arise during the swim meet.
Set-Up & Take-Down Crew
Responsible for preparing and restoring the facility before and after the swim meet. Tasks include setting up timing system, setting up tables, placing counters for the 500 free, setting up the starter stand, and touchpads. Set Up Video for Touch Pads and other Equipment
Timers (Home & Away Teams)
Each lane has two timers:
- Timer A: Uses a stopwatch; starts on the strobe flash and stops when the swimmer touches the wall.
- Timer B: Uses a stopwatch, plunger, and clipboard. Starts/stops the watch the same way, presses the plunger once at the finish, records times to the nearest hundredth (e.g., 2:42.62), and verifies swimmer names.
Timers work the entire meet (about 3 hours), with a longer break during diving. Each team provides one timer per lane plus two alternates. The volunteer’s team provides the stopwatches.
Backup Timers
Two backup timers cover lanes 1–5 and 6–10. Each uses two stopwatches, starting both on the strobe flash. They provide times for lane timers who miss the start.
Runners (Away Team)
Two runners collect timer sheets from each lane after every event and deliver them to the scoring table.
Scoring Computer Operators (Home Team)
Operate the Meet Maestro (SwimTopia) scoring system used for timing and results. At least one operator is required.
Timing Console Operators (Home Team)
Operate the Daktronics timing console, which processes touchpad data for the scoreboard and scoring computer. This role requires focus and attention. Operating the Console Training Video.
Scoring Table Verifiers (Away Team)
Parents assist console and computer operators by reviewing and validating all results as they are processed.
Dive Scoring (Away Team)
One parent scores the diving event using the Excel diving program.
Dive Scoring Verifier (Home Team)
One parent handwrites dive scores and compares them against electronic scoring to ensure accuracy.
Dive Announcer (Away Team)
Responsibilities include:
- Announcing each diver (full name on first dive).
- Reading the dive number, position,
description, and degree of difficulty.
Example: “Avery — 101B, Front Dive Pike, 1.2.” - Announcing judges’ scores consistently and in referee-approved order.
- Using standard language for ties or matching scores (e.g., “across”).
Concessions (Optional; Home Team Lead)
The Home team may choose to run concessions. If not, the Away team may do so with approval. Whichever team operates concessions recruits volunteers for setup, sales, and cleanup.
